Phase 4: Archive (6 months to forever). The project is fully closed. Files are kept for contractual, legal, or portfolio reasons. Access is rare, maybe once or twice per year if ever. These files should cost almost nothing to store.

The 5 Storage Traps That Drain Creative Agency Budgets

Trap 1: The "One Bucket for Everything" Problem

A 50GB video export that a client downloads for review costs $4.50 in egress on AWS. Send that to 5 stakeholders and it is $22.50 for a single review round. If your agency delivers 20 projects per month with 3 review rounds each, the egress bill for client sharing alone can reach $500 to $1,500/month.

The fix: Use a provider with zero egress for client-facing deliverables. Cloudflare R2 charges nothing for egress. Backblaze B2 with Cloudflare CDN is also free egress through the Bandwidth Alliance. Trap 4: Proxy Workflows That Double Your Storage

Many video agencies generate proxy files (lower-resolution copies of raw footage) for faster editing. This is a smart workflow practice. But the proxies are often stored on the same hot tier as the original footage, effectively doubling the storage cost for active projects.

Never store proxy files on the same tier and in the same bucket as your original footage. And delete proxy files automatically when a project moves to the completed phase.

Trap 5: Paying for Compliance You Do Not Need

Some agencies choose enterprise cloud storage tiers because they think they need cross-region replication, 11-nines durability, and compliance certifications. For a creative agency storing video footage and design files, standard durability (99.999999999% on S3 Standard) is already effectively infinite. Your footage is not going to disappear.

Cross-region replication is only necessary if you have a contractual obligation for geographic redundancy, which almost no creative client contract requires. Paying for it by default adds 50% to 100% to your storage costs.

The fix: Unless your contract specifically requires geographic redundancy or specific compliance certifications, use single-region storage. If you need disaster recovery, a single backup copy in a different region on archive-tier storage costs a fraction of active cross-region replication.

Week 1: Audit and Map

  • Total storage cost per month, broken down by tier
  • Cost per client or per project (using tags or folder-based attribution)
  • Egress costs per month with breakdown by destination
  • Growth trend (are you adding storage faster than you are archiving)

For smaller agencies, a simple spreadsheet updated monthly is sufficient. For larger agencies, integrate with your cloud provider's cost management tools (AWS Cost Explorer, Azure Cost Management, or GCP Billing Reports) or use a third-party tool.
